Embrace Strategy Over Planning
I read "Playing to Win" by Roger L. Martin and A.G. Lafley and immersed myself in learning the difference between planning and real strategy. It was tough embracing the idea that "a plan is not a strategy" because planning is so ingrained in how we do things; it's why we have meetings for the sake of meetings. It's why we believe in "strategic planning." Learning that strategy is a choice was game-changing for me.
I overcame the challenge of adopting what Martin calls the "cascade of choices" for six months. Our organization had to define:
--our winning aspiration,
--where to play,
--how we win,
--what our capabilities are, and
--what management systems we need.
Initially, it felt limiting, but I then realized that by putting strategic boundaries around what we do, who we do it for, how we do it and how we maintain it, we were also tapping into the Pareto Principle: nearly 80% of our greatest impact was happening with about 20% of our coachees and event attendees. We discovered our best work is with entrepreneurial and intrapreneurial women who are over 35. In order to quickly implement the new strategy, we had to make a pivot that felt like we were starting from scratch.
That was hard. How do we go from years of credibility with one audience to trying to cultivate something fresh and new with what was essentially a new audience. Though there were women we'd already reached in this new demographic, we had history with everyone who was now outside the parameters of the new strategy. We chose to focus on trying out our new 6-month plan and transitioned them to coaches we trust. By moving forward with the 20%, we had a chance to study their psychographics and really understand what they need as business owners and innovators in their careers, what they're passionate about and what they really believe about setting future goals.
We've since been able to not only more succinctly narrow down how we help them, we've been able to refine our frameworks and position ourselves as thought leaders.
Develop Soil-Focused Garden Care System
One innovative approach I implemented to drive continuous improvement at Ozzie Mowing & Gardening was developing a soil-focused garden care system. Rather than treating plant health on a surface level, I delved into soil analysis and customized nutrient plans for each client's garden, allowing plants to thrive from the roots up. Drawing on my experience as a certified horticulturist and years of hands-on gardening, I knew that understanding the soil's composition could be a game changer. I invested time into learning advanced soil testing techniques and designed a system that integrates soil pH testing, organic matter assessment, and personalized fertilization plans. This approach helps gardens not only look healthier but also become more resilient to pests and disease. Educating clients about the long term benefits of healthy soil was challenging, as some initially saw it as unnecessary, but I overcame this by providing clear, visual examples of how soil health impacts plant vitality and beauty over time.
Implementing this system had its hurdles, primarily with the upfront investment in equipment and training for my team. However, my experience managing similar transitions during my years working for other companies gave me the confidence to allocate resources strategically. I set up training sessions to bring my team up to speed, focusing on practical results they could see in real client gardens. As we began to see consistently improved results, clients became enthusiastic advocates of the soil based approach, sharing their positive experiences, which brought in more business through referrals. This commitment to underlying plant health has set Ozzie Mowing & Gardening apart, leading to higher client satisfaction and longer lasting gardens, which reinforces our reputation for excellence in garden care.
Integrate Customer Feedback in Operations
One thing we implemented at Storage King was using customer feedback loops to drive continuous improvement in our Portable Storage solutions. While customer feedback is standard in many industries, we took it a step further by integrating the feedback directly into our operational workflows and decision-making processes in real-time.
For example, we introduced a follow-up survey after every delivery and retrieval of a Portable Storage unit. Customers were asked to rate the experience and provide specific comments on the ease of loading, timeliness of delivery, and their overall satisfaction. We noticed a recurring issue where some customers found the scheduling process confusing. Based on this feedback, we streamlined our booking system, creating a more user-friendly interface on our website and offering clearer communication via automated reminders and real-time tracking for deliveries.
One challenge we faced was encouraging customers to participate in the surveys consistently. To overcome this, we incentivized feedback by offering small discounts on future services or providing promotional codes for referrals. This increased participation significantly and gave us a wealth of actionable data.
The result was a measurable improvement in customer satisfaction and operational efficiency. Delivery times became more reliable, and customers reported a 20% higher satisfaction rate in follow-up surveys post-implementation. It wasn't just about addressing issues-it was about embedding continuous improvement into our everyday operations and ensuring we were consistently exceeding customer expectations.
Foster Feedback-Driven Team Culture
Creating a feedback-driven culture among my team was one creative strategy I used to promote excellence and ongoing progress. I instituted frequent "retrospective" sessions so that team members could candidly talk about what went well, what didn't, and how our procedures could be strengthened. This promoted cooperation and creativity while enabling us to spot inefficiencies and potential growth areas. Overcoming early resistance to change was difficult since some team members were accustomed to a more top-down style. I made sure that the sessions were organised around constructive criticism in order to address this, emphasising that the objective was improvement rather than criticism. Team involvement rose and we were able to continuously improve our procedures by creating a safe, transparent environment, which eventually resulted in improved output and higher productivity.
Implement Structured Client Feedback Loop
One of the most impactful approaches we took to drive continuous improvement and excellence was implementing a structured client feedback loop. We recognised that client insights are invaluable for refining our work and enhancing our services, so we developed a system to gather, analyse, and act on feedback after every project. This approach allowed us to make real-time adjustments, ensuring our work consistently aligned with client expectations while also helping us identify areas for growth.
Initially, one challenge was encouraging clients to participate, as many were busy or hesitant to provide critical feedback. To overcome this, we framed our feedback requests as an opportunity for collaboration, emphasising that their insights would directly shape the quality of future work. We also simplified the feedback process by creating a quick, user-friendly survey and following up with a personalised message, which showed clients that we genuinely valued their opinions.
As we began implementing this system, we noticed that clients appreciated our proactive approach to improvement, and the feedback loop became a natural part of our workflow. By consistently applying client suggestions, we saw measurable improvements in client satisfaction, and our team gained deeper insights into what resonated most with our audience. This continuous feedback cycle not only strengthened client relationships but also created a culture of excellence and adaptability within our team, making it a powerful tool for long-term growth.
Combine Accountability with Collaborative Brainstorming
One innovative approach I took to drive continuous improvement and excellence in team management was implementing a shared project framework that combined clear accountability with collaborative brainstorming for a new company logo initiative. I introduced a system where each team member owned specific parts of a project while having regular brainstorming sessions where everyone could contribute ideas and provide feedback and suggestions to each other.
The challenge was balancing individual accountability with team collaboration, as some members initially hesitated to share unfinished work or feared their ideas might not align with the broader vision. I emphasized psychological safety and set a tone where all contributions were valued to overcome this. It's critical that everyone on the project felt there was no risk of condemnation for their ideas. I also led by example, sharing my own drafts and encouraging open discussion about improvements. Over time, this approach built trust, streamlined workflows, and resulted in a new logo being created. As team members, we need to feel empowered to innovate while staying aligned with collective goals.
Adopt Radical Transparency for Decision Making
We embraced radical transparency at IdeaScale, creating a culture where data and feedback drive every decision. The challenge was aligning egos with outcomes, but once we made it about the mission, excellence became a shared pursuit
